Day 1 · Get in and look around0/14 steps

30 minutesLog in as pat · No typing needed today
Today's goal: Today's goal: know what the system is, find your way around the screens, and understand the one idea everything hangs on.

The one idea (5 min)

Ultimate ERP keeps one list of everything that happened in the business. We call it the tape. A bag arrived, a sale rang, a person was hired: each is one line, and lines are never rubbed out. Every screen you will see this week is just a print of that list.

Four moves cover everything: Happen (a real thing goes on the tape), Draft (a suggestion), Stamp (a named person makes it official), Print (a screen shows it). Keep these four words in mind all week.

1.1 Log in5 min

The login page. Each demo person is a button that fills the form.
The login page. Each demo person is a button that fills the form.
You should see: a page called "The shop" with five cards across the top.
Why it matters: pat is the accounting admin, the person with the most stamps. Most of this week you are pat.

1.2 Read the home page8 min

The shop. Five cards, three doors, two tables. The menu on the left is grouped by area.
The shop. Five cards, three doors, two tables. The menu on the left is grouped by area.
You should see: under "Who owes whom", a company called Mill & Co with an amount. Under "Latest facts", the newest tape lines.
Why it matters: every number on this page is a link. Tomorrow you will click them.

1.3 Dark mode and the phone view5 min

Dark mode. Same page, different paint.
Dark mode. Same page, different paint.
The phone drawer. Every link is there.
The phone drawer. Every link is there.
Why it matters: warehouse staff use phones. The same shop works on both.

1.4 See the 24 rooms7 min

All 24 rooms on one page. Three are "locked on".
All 24 rooms on one page. Three are "locked on".
Why it matters: a small shop can run with six rooms. Day 7 you will switch one off and see what happens.

Check yourself

What are the four moves?
Happen, Draft, Stamp, Print.
What does "Hash chain holds" mean?
Every line on the tape is glued to the one before it, and none of the glue is broken. Nobody changed history.
Which three rooms can never be switched off?
The ledger (money book), the stamp inbox, and identity.

Day 2 · The tape0/17 steps

35 minutesLog in as pat
Today's goal: Today's goal: walk the tape, read one line properly, and follow a number from a screen back to the facts behind it.

2.1 Walk the tape10 min

The tape. Newest lines at the top. The green banner says the chain holds.
The tape. Newest lines at the top. The green banner says the chain holds.
Why it matters: this is the original. Everything else in the shop is a copy of this.

2.2 Open one line10 min

One line, opened. The envelope on top, what it said in the middle, and the money it moved below.
One line, opened. The envelope on top, what it said in the middle, and the money it moved below.
You should see: the "previous hash" on this line matches the "hash" on the line before it.
Why it matters: if anyone changed a line, the hashes would stop matching and the banner on the tape page would turn red.

2.3 Follow a number home8 min

Why it matters: "every number is a door." No total in this shop is a mystery. You can always click your way to the facts.

2.4 The party page7 min

Mill & Co. One record, all its roles, all its money, all its tape lines.
Mill & Co. One record, all its roles, all its money, all its tape lines.
Why it matters: other systems keep a customer list in sales and another in finance. Here there is one list, and this page is all of it.

Check yourself

What does the first word of a Type likestock.receivedtell you?
Which room wrote the line.
How do you fix a wrong line on the tape?
You cannot edit it. You write a new line that reverses it. Both stay visible.

Day 3 · Draft and stamp0/19 steps

40 minutesLog in as kai, then pat, then helper
Today's goal: Today's goal: understand why a draft is not a fact, stamp one, reject one with a reason, and see the two safety rules in action.

3.1 Draft a journal as kai10 min

The stamp inbox. Drafts on top, the hand-draft form below, switches at the bottom.
The stamp inbox. Drafts on top, the hand-draft form below, switches at the bottom.
Why it matters: a draft moves no money. It is a suggestion waiting for a stamp.

3.2 Stamp it as pat8 min

You should see: the tape shows both names: kai drafted, pat stamped.
Why it matters: nobody can say "the computer did it." A name is on every stamp.

3.3 Reject one with a reason7 min

Why it matters: in other systems, "no" lives in an email. Here it lives on the tape, forever.

3.4 Separation of duties8 min

Why it matters: this is the rule that stops fraud's oldest trick: approve your own work. It is not a warning; the button is dead.

3.5 The helper cannot stamp7 min

The same inbox, logged in as the helper. No Stamp buttons anywhere.
The same inbox, logged in as the helper. No Stamp buttons anywhere.
Why it matters: the helper can be replaced any day. The rule "machines suggest, people decide" is built into the buttons.

Check yourself

Kai drafts a journal. Has any money moved?
No. Money moves only when a person stamps it.
With SoD on, can pat stamp pat's draft?
No. The Stamp button disappears. A second person must do it.

Day 4 · The money rooms0/15 steps

45 minutesLog in as pat
Today's goal: Today's goal: read the money book, turn an order into an invoice, record a bill (and get a duplicate refused), and match a bank line.

4.1 The ledger8 min

The ledger. Debits equal credits, or nothing was written.
The ledger. Debits equal credits, or nothing was written.
Why it matters: one door for money. Stock, pay, the till and the helper all ask the engine, and the engine refuses anything that does not balance.

4.2 Receivables: order to invoice9 min

Receivables. Open items are computed from the tape every time you look.
Receivables. Open items are computed from the tape every time you look.
Why it matters: an order is a promise; an invoice is a fact. They are different lines. Money never moves at "order".

4.3 Payables: a bill, and a duplicate10 min

Payables. The bill reference is the key that stops double payment.
Payables. The bill reference is the key that stops double payment.
You should see: a red message saying the duplicate was refused. Go to Holes: a ticket "duplicate refused" is waiting with an owner.
Why it matters: paying a bill twice is the oldest mistake in business. The key stops it, and the refusal becomes a ticket instead of a silent nothing.

4.4 Bank: feed down, feed up, match12 min

The bank room. A green feed banner, bank lines, and the match form.
The bank room. A green feed banner, bank lines, and the match form.
Why it matters: some systems let you "fix" the bank line to make the match tidy. Here there is no button for that, and a dead feed never shows a green tick.

Check yourself

Why is there no form on the ledger page?
Because nobody types into the money book. Only the engine writes it, when a person or a rule says so.
What happens when you enter the same supplier bill twice?
The second one is refused and a ticket opens in Holes.

Day 5 · Sell, buy, stock0/18 steps

45 minutesLog in as pat, then sam, then moe
Today's goal: Today's goal: take a customer from quote to order, buy stock and receive it, see one bag in two prints, and open a hole from the warehouse.

5.1 People book: a note5 min

The one party table. Customers, suppliers, staff and carriers, all in one list.
The one party table. Customers, suppliers, staff and carriers, all in one list.

5.2 Quote, then order, as sam10 min

Quote to cash. Orders are not invoices, and the table says so.
Quote to cash. Orders are not invoices, and the table says so.
Why it matters: three facts, three lines: quote, order, invoice. Sales can sell all day without touching the book.

5.3 Buy and receive10 min

Buy. Raise the order, then receive the goods as a stock line.
Buy. Raise the order, then receive the goods as a stock line.
Why it matters: order, receipt and bill are matched later as a draft. There is no "force match" button anywhere in the shop.

5.4 One bag, two prints8 min

Stock. The same bags valued two ways, from the same lines.
Stock. The same bags valued two ways, from the same lines.
Why it matters: this is the Lidl fix. Quantity and value come from the same line. Change the rule and both prints change; they can never disagree.

5.5 Warehouse: pick, short pick, count12 min

Warehouse. Pick and count. A short pick opens a hole.
Warehouse. Pick and count. A short pick opens a hole.
Holes. Every leftover has an owner and an age. Some block the month.
Holes. Every leftover has an owner and an age. Some block the month.
Why it matters: a problem in this shop is never quiet. It becomes a ticket with a name on it, and it can stop the month from closing until someone deals with it.

Check yourself

Sam places a $200 order. Did the money book change?
No. An order is a promise. The invoice, later, is the fact that moves money.
What happens when you pick more than is on the shelf?
It is a short pick. A ticket opens in Holes with an owner.

Day 6 · People and pay0/16 steps

40 minutesLog in as nia, pat, then pip
Today's goal: Today's goal: hire someone, give and take rights, clock hours, claim an expense, and stamp a pay run.

6.1 Hire, as nia8 min

Org. Units, people, and the hire form. The pay rate is required.
Org. Units, people, and the hire form. The pay rate is required.
Why it matters: nobody can be hired with a made-up pay rate. And a person is one record, whether they are staff, a customer or a supplier.

6.2 Rights, as pat8 min

Rights. Every grant is a line on the tape. You can never grant yourself anything.
Rights. Every grant is a line on the tape. You can never grant yourself anything.
Why it matters: when someone leaves, their stamp rights die the same second. And an H.R. manager can never make themselves an admin.

6.3 Hours and an expense claim10 min

Time and spend. Hours go straight on the tape. A claim becomes a draft.
Time and spend. Hours go straight on the tape. A claim becomes a draft.
Why it matters: nobody approves their own expenses. Ever.

6.4 The pay run, as pip10 min

Pay. The run is a proposal until the payroll officer stamps it.
Pay. The run is a proposal until the payroll officer stamps it.
Why it matters: a pay run is a draft until a named payroll officer stamps it. If the pay rules for a person were missing, the whole run would refuse rather than guess.

Check yourself

Can nia (H.R.) stamp a pay run?
No. Hiring and paying are kept apart on purpose.
Who stamps your expense claim?
Someone other than you.

Day 7 · Run the shop0/18 steps

45 minutesLog in as pat, then bills
Today's goal: Today's goal: switch a room off and on, close a month properly, see the shop as an outsider, and talk to it without a screen.

035 Ultimate ERP · 008 7-day training · 6 September 2026 · screenshots taken from the live sandbox at tape.rightweb.app on image adbded7 · a sandbox, not the public-company book (F11/P37).

7.1 Rooms off and on8 min

Why it matters: "off" is enforced in the brain, not just hidden on the screen. Even the A.P.I. is refused.

7.2 Close the month15 min

Close. Red holes block the lock. Every difference links to the tape.
Close. Red holes block the lock. Every difference links to the tape.
Why it matters: a real city council once put two billion pounds into the wrong year because reopening was quiet. Here it is loud, named, and reasoned.

7.3 See it as an outsider8 min

The portal. No side menu. Only Mill & Co's own lines.
The portal. No side menu. Only Mill & Co's own lines.
Why it matters: outsiders see the same truth, but only their slice, and they can never reach the stamp.

7.4 Talk to it without a screen10 min

API & MCP. The same doors scripts and A.I. helpers use.
API & MCP. The same doors scripts and A.I. helpers use.
Why it matters: there are three doors (screen, script, helper), all checked, all leading to the same brain. No secret side door.

Check yourself

Lock refuses. What do you do?
Read which hole is blocking, fix that hole (it has an owner), then lock again.
A portal user types /tape in the address bar. What happens?
They are sent back to the portal. They only ever see their own lines.
Name the one idea the whole shop hangs on.
One list of what happened, never rubbed out. Everything else is a print.

If you forget everything else

Keep the four words: Happen. Draft. Stamp. Print.
